Troubleshooting "Record Already Exist" and Other Save Refusals

Record Already Exist. is the server's answer when a master with the same name (or the same key) is already saved. It appears in buildings, floors, room types, rooms, room type amenities, taxes, rate types, rate type bindings, document types, other charges, deposits, DNR reasons, guest categories and more.

Symptom: "Record Already Exist." when saving a master

Likely causes, ranked:

1. The name exists in the same master (comparison ignores case in most masters). Use a different name (Building, Floor, Room type, Room, Rate type).
2. The existing record is inactive and not shown in the list. Switch the list filter to show inactive records and re-activate instead of creating a new one.
3. A record with the same key under another parent, for example a room number or a tax name for the same tax type.
4. A double click created the record the first time. Search the list before retrying.

Checks: search the list with the filter set to All; check spelling and trailing spaces. Fix: rename, or re-activate the existing one. See also Messages: general.

Symptom: "Tax Configuration exists."

You tried to deactivate or rename a tax that still has configured rates. End or remove its configuration first. Once a tax has been used on folios it cannot be removed; escalate (Tax).

Symptom: "Invalid Request, 's configuration is already exist, So please modify it do not add new."

A row for that tax and start date, or an overlapping range slab, exists. Edit the existing row or use another start date (Tax configuration).

Symptom: "You can not set Other Charge as Always Charge and CRS Charge both at same time, Please set one of them"

Tick only one (Other charges).

Symptom: cannot delete or deactivate

The record is in use. Deleting a rate type now says "This rate type cannot be deleted because it is used by existing or future reservations.", and buildings and floors have their own messages. Remove the usage (folios, bindings, CRS mapping) or deactivate instead (Rate type).

Symptom: deleting an exchange rate

Open the currency and click Delete in the edit window (added 2026-10-18; the rate is deactivated). See Exchange rate.

Symptom: Document type shows "Unknown" for category Other

Symptom: other-charge screen errors when its category was renamed

The Other Charges screen looks up the category called "Other Charges" to pre-select it. Renaming it no longer breaks the screen, but keep the name (Other charge category).

Symptom: policies for room type / rate type look wrong

Symptom: business source (sales and channel) save leaves the dialog open

When to escalate

"Record Already Exist." for a name that truly does not exist in any list (including inactive), or a record that cannot be found in the UI.

Tips and FAQ

• Q: Why do I see "Record Already Exist" for a new name? A: Another record (maybe inactive) already has it; show inactive records and re-activate.
• Q: Why is Save greyed out in Rate Type Binding? A: You opened the base rate type (RACK); it cannot be bound.
