The audit closes the business day and moves the PMS date forward by one day. It is all-or-nothing: if a check fails nothing changes.
Symptom: Create Audit is greyed out
Likely causes, ranked:
- The PMS date is already today. The audit needs the PMS date to be earlier than today in the property's time zone ("Cannot create night audit. Night audit already created.").
- Missing privilege Create New Business Day (Button or menu missing).
- Audit Date was edited. It must equal the PMS date; reload the page. Check the PMS date in the status bar and the property time zone (Property detail).
Symptom: "Cannot create night audit before configured night audit time."
Cause: the PMS date is yesterday but the clock has not passed Night Audit Time. Fix: wait, or change the time in Night Audit Setting (a prompt "It's Night Audit time now. Do you want to create Night Audit?" appears when the time arrives).
Symptom: "Some guest need to be check out today. Please check out them before creating a night audit."
Cause: guests due out are not checked out, Allow Night Audit with Pending Check-Outs is off and Checkout Stay Over is off. Fix: open the list of guests due to check out in part 1 Review the guests (or Guest Account Ledger > Due Check-Out Guests) and check them out, or switch on Checkout Stay Over in part 2 Choose what the audit does, or allow pending check-outs in the setting.
Symptom: "Some guests have folio balance exist." / "Some guests have authorize payment exist." / "Some guests have deposit payment exist."
Cause: with Checkout Stay Over on, the automatic check-out hit the normal check-out rules. Fix: settle the balance, release the authorization (Credit card authorization) or refund the deposit for those guests, then retry. See Check-in and check-out blockers and Rental Setting.
Symptom: "Audit creation failed. "
Cause: a check failed; read the reason. Unknown reasons: escalate with the text and time.
Symptom: "Audit done successfully. FAS Data not posted."
The audit worked, the accounting post to FAS failed. Fix: post again from FAS Interface; check FAS settings and M3 / FAS mapping.
Symptom: after the audit, no-show revenue or commission is missing
Causes: Manual Posting No-Show/Cancel Revenue is on (post it by hand: No-show/cancel revenue posting), or posting failed. Since 2026-10-18 a failure while posting no-show revenue or commission during the audit no longer disappears silently: it is written to the general log (method NoShowRevenueOrCommissionPostingFail) and the audit continues. The user may still not see a message on screen, so check the no-show folios in Search Reservation, post them manually, and ask support to look at that log entry.
Symptom: reports or e-mails after the audit did not arrive
Causes: Email Recipient/CC not set or the e-mail switch off (Email setting); reports not ticked in Report At Night Audit. Use Send Report (confirm "Are you sure you want to send night audit report for date:...") and check "Report sent successfully." / "Failed to send report. Error:...". See Print and e-mail.
Symptom: channel (OTA) availability wrong after the audit
The audit re-sends inventory in the background through the queue. See OTA and CRS sync.
Symptom: the audit was run on the wrong day or must be undone
The audit cannot be undone and the date cannot be rolled back. Past days can still be viewed. Escalate; do not repeat the action.
Symptom: payments after the audit time are refused
Cause: Do Not Allow Payment Before Night Audit is on: "Do not allow payment before night audit." Run the audit first.
Symptom: auto-collected prepaid payments or releases did not happen
Cause: the background job depends on Auto collect prepaid guest payment at night audit and Auto release checked-out guest authorized amount, a card token on file and the gateway (Credit card setting).
Symptom: a group block was released (or not released) after the audit
Cause: the audit applies each group's block release rule (Block Room > Release unsold rooms automatically) for the new business date. Rooms are released when the rule's day has come: By Date on the release date; By Days + Group Date at arrival minus the days; By Days + Business Date night by night. Without the tick nothing is released. Members keep their rooms. Fix: check the rule in Block Room; block again with ADD if rooms were released too early (when inventory is left), or release by hand with Release Available Room. See Group block rooms.
When to escalate
Audit creation fails with no clear reason, the PMS date moved but statuses or rates look wrong, repeated "FAS Data not posted" after correct mapping.
Tips and FAQ
- Q: The Create Audit button is grey. A: Either the PMS date is already today, you lack the privilege, or the Audit Date field was changed (it must equal the PMS date).
- Q: Does the audit post room rent? A: No. Rent is already on the folio; the audit only rolls the date.
- Q: Can I undo a night audit? A: No. Transactions of past days can be viewed but the date cannot be rolled back.
