Two licence modules control chat. Team Chat (code COMMUNICATION) switches on the chat window inside your property. Cross-app Chat (code COMMUNICATION_CROSSAPP) additionally allows chat with linked apps, for example the car park in SunParking or the restaurant in SunPOS. The notification bell needs no licence.

Before you start

Licences for chat: licences screen where chat and other modules are requested

Chat licences are requested on the Licences screen.

  • You are the owner of the group (only the owner can request a licence).
  • Each app has its own licence rows: the hotel (SunPMS), the restaurant (SunPOS) and the car park (SunParking) are licensed separately. For chat between two apps both sides need Cross-app Chat.

What each licence gives

Licence Code Gives Without it
Team Chat COMMUNICATION Chat button, direct chats, groups, channels, files, search. The chat button is hidden and the chat server routes answer "not licensed". The bell stays.
Cross-app Chat COMMUNICATION_CROSSAPP The Linked apps tab in New chat, groups with people of other apps, the Linked apps admin screen. Chat stays inside the property; the Linked apps tab and link icon are hidden. Messages from another app are refused.

How to request the licences

  1. Sign in as the owner and open Property Setup > Property Setup > Licences (or the property card in the landing portal > Licences).
  2. On the card Team Chat (and Cross-app Chat) click Buy.
  3. Optionally type a Message to our team (optional) and click Send request. Result: Request sent (ticket...). Our team will contact you to activate it. The card shows "Requested - awaiting activation" until SunTatva activates it; then it shows Active with its dates. Full steps: Buy or renew a licence.

After activation users may need to sign in again, or wait up to five minutes: servers remember the licence answer for about five minutes.

What is hidden when a licence is off

You see Reason
No chat button, only the bell No Team Chat licence (or no privilege, or the property switch is off).
Chat works but no Linked apps tab in New chat, no link icon No Cross-app Chat licence in this app, or the property switch Chat with linked apps is off, or you lack the privilege Cross-app Chat.
Linked apps tab works but messages to the car park fail The other app lacks Cross-app Chat, or its switch is off.

What happens behind the scenes

  • The check is on the server for every chat request and again in the screen. If SunAuth cannot be reached, the check passes so that the hotel keeps working.
  • Licences can be Trial, Subscription, Lifetime or Complimentary, like every other module. An expired licence behaves like none.

Messages you may see

Message (exact text) Why it appears What to do
Cross-app chat is not licensed. A cross-app action reached an app without the licence. Request Cross-app Chat for that app.
Chat with linked apps is not part of the licence of this property. The screen shows this when a start or add is refused for licence. Same.
Chat with linked apps is switched off. The property switch is off. An administrator turns it on, see Linked apps admin screen.
Chat with linked apps is on for this property, but it is not available to you yet. Check the licence and the privilege for linked-app chat. The switch is on but a licence or your privilege is missing. Check the licence card and the privilege 264.
Only the property owner can buy licences. A non-owner clicked Buy. Ask the owner.

Tips and FAQ

  • Q: We have the licence but no chat button. A: Check privilege Access to Communication (chat) on your role, the switch Chat is on for this property, and that you signed in through SunAuth. See Chat problems.
  • Q: Is the bell licensed? A: No.
  • Q: Does a chat licence cost per user? A: It is a feature licence per property, not per user.
