How do I run the night audit (end of day)?
Short answer
Open Billing > Night Audit. Work through the three parts: 1 Review the guests, 2 Choose what the audit does (Checkout Stay Over, No Show Reservation, Auto Post To FAS), 3 Create the audit; then click Create Audit and confirm.
Steps
- Open Billing > Night Audit. In part 3 Create the audit the Audit Date is the current PMS date.
- In part 1 Review the guests open the list of guests due to check out (Open folio opens a guest) and check them out, or switch on Checkout Stay Over in part 2 to let the audit do it.
- Review the in-house and reserved lists in part 1 for balances and arrivals.
- In part 2 Choose what the audit does decide No Show Reservation (marks unarrived bookings as No-Show) and Auto Post To FAS (FAS properties). The switches start from your last saved choice and are applied when you create the audit.
- Click Create Audit and answer You are creating a audit for date... Do you want to continue?
Check the result
Audit done successfully. The PMS date (status bar at the bottom) moves one day forward, new room statuses are created, group blocks with a release rule give back their unsold rooms when the rule's day has come (Group block rooms), and the night audit reports are e-mailed if set. Send Report can resend them.
Common problems
- Create Audit disabled: PMS date is already today, or you lack the privilege.
- Cannot create night audit before configured night audit time. Wait until after the Night Audit Time.
- Some guest need to be check out today... Check out or tick Checkout Stay Over.
- Some guests have folio balance exist. / authorize payment exist. / deposit payment exist. Settle or release them (release, deposit).
- Mistakes after the audit cannot be changed freely when Restrict Changes on Audited Transactions is on.
