House Keeping Summary Report
On this page
The House Keeping Summary Report counts, for each day of a date range, how many housekeeping tasks of each kind are scheduled: for example how many rooms need Towels, Bed Sheets, Vacuum or a Minibar Check. It is the workload forecast of the housekeeping department.

Purpose
- Plan staff and supplies: how many sets of linen and towels are needed each day.
- See the busiest days of the week for housekeeping.
- Check that tasks are attached to stays.
Who uses it
The housekeeping manager and supervisors (daily planning), and the front office manager who agrees staffing.
About this report on screen
Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:
- Summary: Room status counts day by day.
- What this report shows: For each date in the period: how many rooms were in each housekeeping status.
- How to read it:
- V = vacant, O = occupied, R = reserved; Ready / Clean / Dirty / Maint is the cleaning state.
Before you start
- You need the privilege HouseKeeping_Report_Summary.
- The tasks are the entries of the housekeeping task master (Settings > Property Setup > HouseKeeping Setup > HouseKeeping Task, see HouseKeeping Task; for example Towels, Bathroom, Minibar Check). They are attached to a stay when it is created, and to vacant dirty rooms.
- Only tasks of stays that are in house (not checked out) or reservations that arrive on or after the PMS date are counted, plus the tasks of vacant dirty rooms.
Step by step
- Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at
#/reports. - Choose the category Housekeeping Reports (or type in the search box) and click the card House Keeping Summary ("Room status and cleaning summary"). You can also open
#/report/house-keeping-summarydirectly. - The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date, To Date as you need (in a date calendar, Working Date jumps to the current business date).
- Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
- Read one line per day and the Total line.
- Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
- Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.
Filters
| Filter | Meaning | Rules and default |
|---|---|---|
| From Date | First day to include. | Default PMS date. |
| To Date | Last day to include. | Default PMS date; not before From Date. Every day of the range gets a line, even a day without tasks (zeros). |
Columns
| Column | Meaning and calculation |
|---|---|
| Date | The day (in your date format). The last line says Total. |
| One column per task (demo hotel: Drapes, Towels, Dusting, Bathroom, Minibar Check, Vacuum, Bed Sheets) | Number of tasks of that kind scheduled on the day: the count of stay-task entries plus vacant dirty room tasks. The columns are the tasks that appear in the data; their order can change between runs. |
Totals and grouping
The Total line adds each task column over the days of the range.
How to read an example
16-Oct-2026 to 19-Oct-2026 on the demo hotel:
| Date | Drapes | Towels | Dusting | Bathroom | Minibar Check | Vacuum | Bed Sheets |
|---|---|---|---|---|---|---|---|
| 16-Oct-2026 | 7 | 7 | 7 | 7 | 7 | 7 | 7 |
| 17-Oct-2026 | 18 | 18 | 18 | 18 | 18 | 18 | 18 |
| 18-Oct-2026 | 11 | 11 | 11 | 11 | 11 | 11 | 11 |
| 19-Oct-2026 | 3 | 3 | 3 | 3 | 3 | 3 | 3 |
| Total | 39 | 39 | 39 | 39 | 39 | 39 | 39 |
Read it as: on 17-Oct-2026 housekeeping has 18 occupied rooms to service and each of the seven tasks is scheduled in all 18 of them, so 18 sets of towels, 18 bed sheet changes and so on. All counts are equal because the demo stays have all seven tasks attached. The workload falls to 11 rooms on 18-Oct and 3 on 19-Oct as guests leave (future reservations add to these days when they are created). In total 39 room-days of each task are planned.
Common questions it answers
- How many rooms need towels tomorrow?
- On which day is housekeeping busiest?
- Do all stays have housekeeping tasks attached?
Export, print and e-mail
- Excel downloads House Keeping Summary Report.xlsx with the day lines and the Total line. The file has no date-range line.
- Email (PDF) shows Email sent successfully.
- PDF: Since 19-Oct-2026 the PDF also opens on a property without an uploaded logo.
Troubleshooting
- The counts are lower than the rooms in the house. Stays without tasks are not counted, and checked-out stays are excluded.
- A task column is missing. No stay has that task on the days of the range (the column list comes from the data).
- Past days show small numbers. Tasks of guests who have checked out are not counted any more; only today's and future workload is reliable.
- Only the Date column is shown. No task exists on those days.
