The Tax Detail Report shows, for each guest staying on one day, the rent and the tax charged on it, one column for each tax of the property, and the total tax. It is used to prepare the tax return and to check that the right tax was applied.

Tax Detail Report result

Purpose

See who was charged which tax on a business day and how much tax was collected in total.

Who uses it

  • Accountant: tax return and audit.
  • Owner: check of tax rates.

About this report on screen

Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:

  • Summary: The tax charged on each room on a date.
  • What this report shows: For each room on the chosen date: guest, rate and the tax charged.
  • How to read it:
  • Use it to check tax on rooms before filing.

Before you start

  • Taxes are set up in Settings > Property > Tax and linked to the rooms or rates in Tax Configuration. A tax that starts on a later date does not show before that date.

Step by step

  1. Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at #/reports.
  2. Choose the category Daily Reports (or type in the search box) and click the card Tax Detail ("Collected tax breakdown"). You can also open #/report/tax-detail directly.
  3. The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date as you need (in a date calendar, Working Date jumps to the current business date).
  4. Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
  5. Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
  6. Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.

Filters

Filter Meaning Default / rules
From Date The business day. The PMS date.

Columns

Column Meaning and how it is calculated
Guest Name, Room Name The guest and room (blank guest name for unnamed folios).
Rate The rent of this night before tax.
City Tax, State Tax, GST 12% (your taxes) The tax amount of each tax on that rent; exempt amounts are not counted.
Total Tax The sum of the tax columns.

Totals and grouping

One line per room-night and a Total row for rate and each tax. No-show and cancelled reservations that kept rent are added as lines too.

How to read an example

On the PMS date the Total row shows rate 87,150.00 and Total Tax 8,394.00 (all GST 12%). Check one line: room 107 (Billing One) has rate 2,750.00 and GST 12% 330.00, which is 12 % of 2,750.00. Room 204 (Hana Kobayashi) and rooms 201, 205, 206 have rates but 0 tax because their room type or rate is not linked to a tax in the tax configuration of the demo hotel.

On 16-Oct-2026 all tax columns are 0 because GST 12% starts on 17-Oct-2026 in the tax set-up.

The numbers come from the SunTatva Demo Hotel on the day this page was written; your own figures will of course differ.

Common questions it answers

  • How much tax did we collect today and per tax?
  • Which stays were not taxed?
  • Does the tax on each line follow the rate?

Troubleshooting

What you see Why and what to do
A guest has a rate but no tax The room type or rate is not linked to a tax in Tax Configuration, the tax starts on a later date, or the folio is tax exempt.
The tax total differs from Daily Summary Compare with the tax lines of the Daily Summary for the same date.
Export is greyed out The report has no rows (No record found!), so there is nothing to export. Change the criteria and click Show.
You are signed out when the report opens Your role does not have the privilege of this report. The screen checks the privilege when the address is opened and logs you out if it is missing.

Messages you may see

Message Why it appears What to do
No record found! The report found nothing for the date or filters you chose. Check the date (the first PMS date of the hotel is the earliest you can pick), the desk user and the other filters, then click Show.
Email sent successfully. You chose Export > Email (PDF). The server built the PDF and handed it to the mail service. Nothing. If the mail does not arrive, check the e-mail address of the property and the e-mail settings.
