Daily Summary Report
On this page
The Daily Summary Report (card Summary) is the one page that owners read: rent and taxes, other charges, payments by type, discounts, miscellaneous income and expense, room status counts and the statistics Room Sold, Occupancy Rate, ADR and RevPAR. Every line has three columns: Today, Month To Date (MTD) and Year To Date.

Purpose
Show how the hotel performed on one day and compared with the month and the year so far, and prove that rent, tax and money received agree.
Who uses it
- Owner or general manager: quick view of occupancy, ADR, RevPAR and income.
- Accountant: rent and tax summary and payments by payment type.
- Revenue manager: ADR and RevPAR of the day, month and year.
About this report on screen
Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:
- Summary: Today, month-to-date and year-to-date figures on one page.
- What this report shows: Room status counts, rooms sold, occupancy, ADR, RevPAR, rent, other charges, taxes and collections for the chosen date, the month so far and the year so far.
- How to read it:
- Today = the chosen date. MTD = 1st of the month to that date. YTD = start of the year to that date.
- Good to know:
- Other Charge Category on: other charges are added up by category instead of one by one.
Columns explained (the same text shows on the help icon next to a column title):
| Column | Meaning |
|---|---|
| Month To Date (MTD) | From the 1st of the month to the chosen date. |
| Year To Date | From the start of the year to the chosen date. |
Before you start
- The report takes some seconds to load (it computes the day, the month and the year); wait for the loading screen.
- Run after the night audit for final figures.
Step by step
- Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at
#/reports. - Choose the category Daily Reports (or type in the search box) and click the card Summary ("Overall daily summary"). You can also open
#/report/daily-summarydirectly. - The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date, Other Charge Category as you need (in a date calendar, Working Date jumps to the current business date).
- Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
- Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
- Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.
Filters
| Filter | Meaning | Default / rules |
|---|---|---|
| From Date | The report day (single day). Month To Date runs from the 1st of that month to this day, Year To Date from 1 January to this day. | The PMS date. |
| Other Charge Category | Switch. On: all other charges are added into one line, "Other Charges". Off: each charge (Laundry, Mini bar...) has its own line. | On. |
Columns
| Column | Meaning and how it is calculated |
|---|---|
| Title | The name of the line (see the sections below). |
| Today | The value for the report day. |
| Month To Date (MTD) | The same value from the 1st of the month to the report day. For percentages and averages it is calculated over the whole period, not as an average of days. |
| Year To Date | From 1 January to the report day (calendar year). |
Totals and grouping
The lines come in sections:
- Rent & Occupancy Tax: Total Gross Rent (with exemptions), Room Rental, Adjustments, No-Show/Cancel Rent, then for every tax the taxable rent, tax, exempted rent and exempted tax.
- Other Charges: each charge (or one line), with its taxes, and the Total.
- Payment: one line per payment type (Cash, Cheque, cards, UPI, Bank Transfer...) and a Total.
- Others: non-cash items such as Complimentary, Travel Agent Voucher, Bad Debts and Discount, with a Total.
- Miscellaneous Income and Miscellaneous Expense: cash taken in or paid out without a guest folio.
- Room Summary: Total Room, V/Maint, R/Ready, V/Clean, V/Ready, O/Clean, V/Dirty, O/Dirty and O/Maint room counts. For MTD and YTD they are counts of room-days.
- Statistics: Room Sold, Occupancy Rate (%) = rooms sold / available rooms x 100, Average Daily Rate (ADR) = rent / rooms sold, Revenue Per Available Room (RevPar) = rent / available rooms.
Available rooms are the active rooms that count towards occupancy and are not in V/Maint (vacant maintenance) status. The rent used for ADR and RevPAR is the forecast rent of every sold room-night (checked-in and reserved), so ADR x Room Sold can be higher than the Room Rental line. The grid is not sortable.
How to read an example
On the PMS date the report shows Room Sold 24.00, Occupancy Rate 92.31 %, ADR 3,560.42 and RevPAR 3,286.54; the Room Rental line is 67,250.00. Month To Date and Year To Date are equal here because the hotel's first business day is in the same month and year.
With Other Charge Category switched off the report has 72 lines instead of 70, because each charge is listed separately.
The numbers come from the SunTatva Demo Hotel on the day this page was written; your own figures will of course differ.
Common questions it answers
- What was occupancy, ADR and RevPAR today, this month and this year?
- How much did each payment type bring in?
- How much tax is due, per tax?
- How many rooms are in each housekeeping status?
- How much rent was kept from no-shows and cancellations?
Troubleshooting
| What you see | Why and what to do |
|---|---|
| The summary is slow (about 20 seconds in the demo) | Wait. Since the 19-Oct-2026 fix the table shows Loading... while the report is computed and No record found! only when it really found nothing. |
| ADR x Room Sold is not Room Rental | ADR and RevPAR use the forecast rent of all sold room-nights, including reservations; Room Rental is the rent booked on stays. |
| Payment cash is higher than Daily Collection | Check the day: the summary counts the payment date, Daily Collection lists payments by their own date and desk user. Open both for the same date. |
| Occupancy % is not Rooms Sold / Total Room | The divisor leaves out rooms in V/Maint status and rooms not counted for occupancy. |
| I looked for a Card Type switch | It was removed (the report has no card-type breakdown). Use Daily Collection Payment Type. |
| Export is greyed out | The report has no rows (No record found!), so there is nothing to export. Change the criteria and click Show. |
| You are signed out when the report opens | Your role does not have the privilege of this report. The screen checks the privilege when the address is opened and logs you out if it is missing. |
Messages you may see
| Message | Why it appears | What to do |
|---|---|---|
| No record found! | The report found nothing for the date or filters you chose. | Check the date (the first PMS date of the hotel is the earliest you can pick), the desk user and the other filters, then click Show. |
| Email sent successfully. | You chose Export > Email (PDF). The server built the PDF and handed it to the mail service. | Nothing. If the mail does not arrive, check the e-mail address of the property and the e-mail settings. |
