The Daily Sheet Report is the Daily Report with the payments split by type and every tax of your property in its own column. It is the sheet an accountant wants when the day has to be booked tax by tax and cash against card.

Daily Sheet Report result

Purpose

Give one row per folio for a business day with rent, each tax (and the waived tax), other charges, discount and the payments split into cash, cheque/bank, card and other. The totals at the bottom can be posted to the accounts.

Who uses it

  • Accountant: books rent, each tax and each payment type.
  • Night auditor: checks cash and card against the terminals.
  • Owner: needs a tax breakdown for the day.

About this report on screen

Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:

  • Summary: The daily sheet: each room's charges and payments split by cash, card and cheque.
  • What this report shows: Like the Daily report, with payments split into cash, card, cheque and other for the chosen date.
  • How to read it:
  • Use it to balance the day's takings per payment type.
  • Rows called "Total" or "Grand Total" are added by the report itself and are highlighted.

Columns explained (the same text shows on the help icon next to a column title):

Column Meaning
Rent Room rent (without other charges).
Other Charge Charges other than room rent (food, laundry, extra bed...).
Discount Discounts given on the bill.
Check Payments by cheque.
Total Payment All payments received.
Direct Billing Charges billed to a company or channel account instead of the guest.
Deposit Money taken in advance; it is used against the bill.
Payment Transfer Payments moved from one folio to another.

Before you start

  • Taxes must be configured (Settings > Property > Tax); the report has one column pair per tax.
  • Run it after the night audit for final numbers.

Step by step

  1. Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at #/reports.
  2. Choose the category Daily Reports (or type in the search box) and click the card Daily Sheet ("Room-wise daily stats"). You can also open #/report/daily-sheet directly.
  3. The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date as you need (in a date calendar, Working Date jumps to the current business date).
  4. Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
  5. Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
  6. Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.

Filters

Filter Meaning Default / rules
From Date The business day to report (a single day). The PMS date; cannot be earlier than the first PMS date.

Columns

Column Meaning and how it is calculated
Guest Name, Room Name, Date In, Date Out As in the Daily Report: the primary guest, room and stay dates.
Rent Room rate of this night (0 on reservations; kept rent on no-show and cancel lines).
City Tax, State Tax, GST 12%... (one column per tax) Tax charged on this night's rent, one column for each tax of the property. The names are your tax names, so your hotel shows its own taxes.
City Tax Exempt... (one column per tax) The same taxes where the folio is tax exempt (waived amount).
Other Charge Other charges posted on the day, before tax.
Sales Tax, Sales Tax Exempt Tax (and waived tax) on those other charges. The title comes from the property settings.
Discount Discount given on the day.
Cash Payments of payment-type category Cash.
Check Payments of category Bank (cheque, bank transfer and similar).
Card Payments of category Card (sales; authorized holds are not included).
Other Payment Other payment categories.
Total Payment Cash + Check + Card + Other Payment.
Direct Billing Posted to a company or agent account (not part of Total Payment).
Deposit Advance deposits (not part of Total Payment).
Payment Transfer Payments moved from another folio (not part of Total Payment).

Totals and grouping

Same groups as the Daily Report: Reservation, No-Show Reservation, Check In, Stayover, Check Out, Sales & Channel, Miscellaneous Income, Miscellaneous Expense and Total. The last Total row adds every column. On a guest line, Total Payment is the sum of the four payment-type columns, and direct billing, deposits and transfers are separate columns. The Sales & Channel and Miscellaneous Income lines are added to the Cash, Check and Card columns of the Total row and the Miscellaneous Expense lines are subtracted (shown as negative amounts), so Cash + Check + Card agrees with Total Payment. A tax column exists only for taxes that are in effect on the report date. The screen does not sort when a heading is clicked; use the Columns panel to hide or reorder columns.

How to read an example

For 17-Oct-2026 the Total row shows rent 87,185.71, GST 12% 8,158.29 and Total Payment 22,207.60; the Cash, Check and Card columns add up to that Total Payment. City Tax and State Tax are 0 because only GST 12% is in effect.

For 16-Oct-2026 the sheet has only the columns of the taxes that were in effect that day (City Tax and State Tax; GST 12% starts on 17-Oct), the Total row shows Total Payment 42,930.00, Check 1,000.00 (the UPI advance, because UPI is a bank-category payment type) and Cash 41,930.00. Cash is not only the cash paid by guests: the Total row also includes the Miscellaneous Income and Sales & Channel lines and subtracts the Miscellaneous Expense lines (scrap sales 3,500, expenses 1,300), and so Cash + Check = Total Payment. (Before the fix, 19-Oct-2026, Cash showed 44,530.00 because the expenses were added.)

Figures are from the demo hotel on 19-Oct-2026 and change as demo data changes. Your own figures will of course differ.

Common questions it answers

  • How much of each tax did we charge today?
  • How much was paid by cash, cheque/bank and card?
  • Which part of the income was billed to companies (Direct Billing)?
  • What deposits and transfers happened today?

Troubleshooting

What you see Why and what to do
A tax column is missing Only taxes that are in effect on the report date get a column (GST 12% has none on 16-Oct-2026 because it starts on 17-Oct). Check Settings > Property > Tax and Tax Configuration.
Cash + Check + Card does not equal Total Payment On guest lines Total Payment also includes Other Payment, and Direct Billing, Deposit and Payment Transfer are never inside it. In the Total row the miscellaneous lines are inside both (expenses subtracted since the 19-Oct-2026 fix, ).
UPI or wallet payments are not under Cash They are placed by the category of their payment type (Bank, Card, Others). Check the category in Settings > Payment Type.
Export is greyed out The report has no rows (No record found!), so there is nothing to export. Change the criteria and click Show.
You are signed out when the report opens Your role does not have the privilege of this report. The screen checks the privilege when the address is opened and logs you out if it is missing.

Messages you may see

Message Why it appears What to do
No record found! The report found nothing for the date or filters you chose. Check the date (the first PMS date of the hotel is the earliest you can pick), the desk user and the other filters, then click Show.
Email sent successfully. You chose Export > Email (PDF). The server built the PDF and handed it to the mail service. Nothing. If the mail does not arrive, check the e-mail address of the property and the e-mail settings.
