The Cashiers Report is for counting the till. It does not take a date: it shows what one desk user has taken in the shift that is open right now, by payment type, with refunds and deleted payments, and the grand total that the cash drawer must match.

Cashiers Report result

Purpose

Let the cashier (or the owner) check the money of the running shift before closing it, and print or e-mail the figures for the handover.

Who uses it

  • Desk user at the end of the shift: count the cash and compare.
  • Owner: look at the open shift of any user.

About this report on screen

Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:

  • Summary: What a desk user collected in their current shift, by payment type.
  • What this report shows: Payments taken in the shift with the amount per payment type and account, and a grand total.
  • How to read it:
  • The owner picks the desk user; everyone else sees their own open shift.

Before you start

  • A shift must be open for the user (Shift Start). If no shift is open the report is empty.
  • Only the role Owner sees Select Desk User and Show; other roles see only their own shift and no Show button.

Step by step

  1. Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at #/reports.
  2. Choose the category Daily Reports (or type in the search box) and click the card Cashiers ("Cashier activity report"). You can also open #/report/cashiers directly.
  3. The report opens and runs once with its default criteria, so you already see data. Under Report criteria set Select Desk User as you need (in a date calendar, Working Date jumps to the current business date).
  4. Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
  5. Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
  6. Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.

Filters

Filter Meaning Default / rules
Select Desk User The user whose open shift is shown. The first entry ALL (shown when you may see all users) adds the users that have an open shift, each under "Payment Details of ". The logged-in user. Visible to the role Owner only.

Columns

Column Meaning and how it is calculated
Payment Type The line: Cash, Bank, Card, Others, Direct Billing, then Cash Refund, Bank Refund, Card Refund, Direct Billing Refund, Cash Delete, Bank Delete, Card Delete, Miscellaneous Income, Miscellaneous Expense and Grand Total.
Quantity How many payments make up the line.
Amount The money of the line. Refund and Delete lines are shown as positive amounts.

Totals and grouping

The block Payment Details has the lines above and Total Payment has the Grand Total. Grand Total = payments (cash + bank + card + others + direct billing) + refund lines (as negative amounts) - deleted payments - miscellaneous expense + miscellaneous income. The quantity of the Grand Total counts all payments, refunds, deletions and miscellaneous lines together. There is no column chooser on this screen.

How to read an example

In the demo the open shift shows 14 cash payments of 57,727.60 and 4 cash refunds of 18,790.00. The Grand Total is 39,937.60 = 57,727.60 - 18,790.00 (refunds are subtracted although they are printed as positive amounts). This is the cash the drawer should hold, apart from the opening float.

The numbers come from the SunTatva Demo Hotel on the day this page was written; your own figures will of course differ.

Common questions it answers

  • How much cash should be in my drawer?
  • How many refunds did I give in this shift?
  • Were any payments deleted in this shift?
  • What miscellaneous income or expense did I enter?

Troubleshooting

What you see Why and what to do
The report is empty No shift is open for the user. Start a shift (Shift Start) before taking payments, or choose another user.
The figures are different from Daily Collection Cashiers is one open shift of one user, Daily Collection is the whole day for all users.
I do not see Select Desk User Only the role Owner has it. Ask the owner to run the report, or use Daily Shift which any manager can use for a user and a date range.
Export is greyed out The report has no rows (No record found!), so there is nothing to export. Change the criteria and click Show.
You are signed out when the report opens Your role does not have the privilege of this report. The screen checks the privilege when the address is opened and logs you out if it is missing.

Messages you may see

Message Why it appears What to do
No record found! The report found nothing for the date or filters you chose. Check the date (the first PMS date of the hotel is the earliest you can pick), the desk user and the other filters, then click Show.
Email sent successfully. You chose Export > Email (PDF). The server built the PDF and handed it to the mail service. Nothing. If the mail does not arrive, check the e-mail address of the property and the e-mail settings.
