The Daily Collection Report lists every payment received on one day, line by line, with the guest, room, desk user, payment date and time, payment type and amount, and totals it by payment type. It is the accountant's list for matching the day's receipts with the cash and the bank.

Daily Collection Report result

Purpose

Show all money received (and refunded or deleted) on a business day, by guest and by payment type, with the user who took it.

Who uses it

  • Accountant: bank and cash reconciliation.
  • Night auditor: closing the day.
  • Manager: checking a user's payments.

About this report on screen

Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:

  • Summary: All payments received on a date, by payment type.
  • What this report shows: Each payment on the chosen date with folio, guest, room, payment type, amount, desk user and remark, grouped by payment type.
  • How to read it:
  • Filter by desk user or payment type to check one cash drawer or one card terminal.
  • Rows called "Total" or "Grand Total" are added by the report itself and are highlighted.

Before you start

  • Payments are reported on the payment date. A payment that is deleted later appears as a negative line on the deletion date.
  • The lists of users and payment types come from your masters.

Step by step

  1. Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at #/reports.
  2. Choose the category Daily Reports (or type in the search box) and click the card Daily Collection ("Total daily revenue"). You can also open #/report/daily-collection directly.
  3. The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date, Select Desk User, Type as you need (in a date calendar, Working Date jumps to the current business date).
  4. Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
  5. Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
  6. Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.

Filters

Filter Meaning Default / rules
From Date The business day. The PMS date.
Select Desk User One user or ALL. ALL, or yourself when your role has only the basic shift privilege.
Type One payment type (Cash, UPI, Cheque...) or ALL. ALL.

Columns

Column Meaning and how it is calculated
Guest Name, Room Name, Room Type The payer's folio, the room and its type.
Date In, Date Out Stay dates of the folio.
Desk User The user who took the payment.
Payment Date Date and time of the payment.
Payment Type The payment type (Cash, UPI...).
Payment Amount The amount. Refunds and deleted payments are separate negative lines.
Remark Shown only when a payment has a remark.

Totals and grouping

Groups: Reservation (payments on bookings that have not arrived), Check-In/Out, Sales & Channel, Group and Miscellaneous Income. The Total row is the sum of all lines. At the bottom the Payment Type Summary gives the amount per payment type.

How to read an example

On the PMS date the total is 82,389.60 and the Payment Type Summary at the bottom splits it by payment type. Refunds and deleted payments appear as separate negative lines.

For 16-Oct-2026 with Type = UPI only 2 payment line remains: the UPI payment of 1,000.00 for Meera Joshi's reservation.

The numbers come from the SunTatva Demo Hotel on the day this page was written; your own figures will of course differ.

Common questions it answers

  • How much did we collect today, and in which payment types?
  • Which user took which payment?
  • Which payments were refunded or deleted?
  • How much was paid in advance on reservations?

Troubleshooting

What you see Why and what to do
Total differs from the Daily Report Total Payment Both should agree. A difference means a payment was entered after the report was run, or you used another date.
Cash differs from the Cashiers report Cashiers is one shift of one user; this report is the whole day for all users.
Why is a refund negative? Refunds and deletions are separate negative lines so the total is net.
Export is greyed out The report has no rows (No record found!), so there is nothing to export. Change the criteria and click Show.
You are signed out when the report opens Your role does not have the privilege of this report. The screen checks the privilege when the address is opened and logs you out if it is missing.

Messages you may see

Message Why it appears What to do
No record found! The report found nothing for the date or filters you chose. Check the date (the first PMS date of the hotel is the earliest you can pick), the desk user and the other filters, then click Show.
Email sent successfully. You chose Export > Email (PDF). The server built the PDF and handed it to the mail service. Nothing. If the mail does not arrive, check the e-mail address of the property and the e-mail settings.
