Sales and Channel Aging Report
On this page
The Sales & Channel Aging Report shows, for each sales and channel that is billed directly (a company or travel agent account), what it still owes and how old the charges are. The age buckets are 30 days, 60 days, 90 days and more than 90 days, each with the charges and the payments of the bucket.

Purpose
Tell the accountant which agents or companies to chase for payment, and how overdue they are.
Who uses it
- Accountant: receivables follow-up.
- Sales manager: credit control of agents.
About this report on screen
Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:
- Summary: What each sales & channel account owes, split by how old it is.
- What this report shows: Per sales & channel: charges and payments in four age bands counted back from the current business date: up to 30 days, 31-60, 61-90 and more than 90 days.
- How to read it:
- Old unpaid amounts (> 90 Days) are the first to chase.
- Charges minus payments in a band is what is still open in that band.
Columns explained (the same text shows on the help icon next to a column title):
| Column | Meaning |
|---|---|
| Sales & Channel | Where the booking came from: direct, a booking site, a travel agent, a company... |
Before you start
- Only channels with direct billing (charges posted to the Sales & Channel as direct billing) can have a balance. A channel with no direct billing shows 0 or does not appear.
Step by step
- Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at
#/reports. - Choose the category Daily Reports (or type in the search box) and click the card Sales & Channel Aging ("Outstanding aging by Sales & Channel"). You can also open
#/report/sales-channel-agingdirectly. - The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date as you need (in a date calendar, Working Date jumps to the current business date).
- Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
- Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
- Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.
Filters
| Filter | Meaning | Default / rules |
|---|---|---|
| From Date | The report date; the balance at that date is shown beside the balance at the latest PMS date. | The PMS date. |
Columns
| Column | Meaning and how it is calculated |
|---|---|
| Sales & Channel | The channel. |
| Balance at the latest PMS date = opening balance + charges - payments of the channel. | |
| Balance at the report date. It has the same heading and value as the first column when the report date is the PMS date. | |
| 30 Days Charges / Payment | Charges and payments of the last 30 days before the PMS date. |
| 60 Days, 90 Days, > 90 Days (Charges / Payment) | The same for the older periods. The age is counted back from the PMS date. |
Totals and grouping
One line per channel and a Total row that adds each column. A channel with older charges and no payment in the old buckets is the one to call.
How to read an example
On 17-Oct-2026 the demo hotel shows one row, Acme Corporation, with a balance of 8,000.00 (in both balance columns, because the report date is the PMS date), all of it in 30 Days Charges (8,000.00) and nothing paid yet; the Total row repeats the same figures. For 16-Oct-2026 only the Total row shows, with 0.00 in every column, because nothing had been billed to a Sales & Channel by then. In a hotel that bills several companies, each company has a row, for example a balance of 25,000.00 with 10,000.00 charges in the 30 Days column and 15,000.00 in the 60 Days column (an invented illustration, not demo data).
The numbers come from the SunTatva Demo Hotel on the day this page was written; your own figures will of course differ.
Common questions it answers
- Which agents or companies owe us money?
- How old are their charges?
- Did a channel pay the older charges?
Troubleshooting
| What you see | Why and what to do |
|---|---|
| Everything is 0 | No channel has a direct-billing balance. Charges become direct billing when a payment is posted to a Sales & Channel on the folio. |
| The two balance columns are the same | The report date is the PMS date; pick an earlier date to see an earlier balance beside the latest. |
| Export is greyed out | The report has no rows (No record found!), so there is nothing to export. Change the criteria and click Show. |
| You are signed out when the report opens | Your role does not have the privilege of this report. The screen checks the privilege when the address is opened and logs you out if it is missing. |
Messages you may see
| Message | Why it appears | What to do |
|---|---|---|
| No record found! | The report found nothing for the date or filters you chose. | Check the date (the first PMS date of the hotel is the earliest you can pick), the desk user and the other filters, then click Show. |
| Email sent successfully. | You chose Export > Email (PDF). The server built the PDF and handed it to the mail service. | Nothing. If the mail does not arrive, check the e-mail address of the property and the e-mail settings. |
