How to encode and cancel key cards

  1. Install the SunHW Integration Utility on the front-desk computer and add it as a Windows station in SunHardware > Devices; the key card encoder attached to it is set there too.
  2. In SunHardware > Door locks choose the door lock system and its settings and map the room numbers it uses. Import from SunPMS brings over what was set up in the PMS before.
  3. In the PMS open Property Setup > Hardware Setting and link this hotel to the SunHardware property (see Hardware Setting). Make Key and Duplicate Key in check-in are then encoded on the station (this needs the Door Lock licence, see Licences).

What happens behind the scenes

  • The PMS does not store scanner, signature pad or door lock devices any more. Device Configuration lists only card payment devices.
  • Check-in, group check-in and Add Document offer the SunHardware actions (Scan ID, Sign, Make key card) once the link in Hardware Setting is connected; they use the stations, phones and tablets of the linked SunHardware property.

Tips and FAQ

  • Q: Where did my old scanner / signature pad / door lock entries go? A: The PMS no longer shows them. In SunHardware > Door locks use Import from SunPMS to bring the door lock setup across; stations and their attached devices are added in SunHardware > Devices.
  • Q: The Scan ID, Sign or Make key button is missing in check-in. A: Hardware Setting is not connected, or the licence is missing. See Hardware Setting.
