The MTD/YTD Comparision report ("Month-to-date vs. Year-to-date", screen title MTD/YTD Comparison Report) puts the figures of a period (normally the month to date) and of the year to date next to the same figures of last year, and shows the variance. It covers revenue, taxes, other charges, payments, room counts and the statistics occupancy, ADR and RevPAR in one page.

MTD/YTD Comparision on the demo hotel

Purpose

  • See whether this month and this year are ahead of or behind last year.
  • Compare revenue, payments, occupancy, ADR and RevPAR with the same days of the year before.
  • Review a closed month: set the dates to that month.

Who uses it

Owners and revenue managers (performance against last year), accountants (revenue and payments by type), general managers.

About this report on screen

Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:

  • Summary: This period and this year so far against the same days last year.
  • What this report shows: Rent, occupancy tax, other charges, payments, deposits, authorized payments, miscellaneous income and expense, sales & channel payments, the room status summary and the statistics (rooms sold, occupancy, ADR, RevPAR), each for the period (From Date to To Date) and for the year to date (1 January to To Date), next to the same days last year.
  • How to read it:
  • PTD (period to date) = From Date to To Date. YTD (year to date) = 1 January of the To Date year to To Date. Last Year = the same dates one year earlier.
  • Variance (+/-) = this year - last year. A negative value means less than last year.
  • Rooms available = rooms counted in occupancy that were active and not V/Maint on each day of the period, added up (room nights). Last year uses last year's rooms.
  • Occupancy Rate (%) = rooms sold / rooms available x 100. ADR = room revenue / rooms sold. RevPAR = room revenue / rooms available. These match the Performance figures on the dashboard.
  • The room status lines (V/Maint, O/Clean...) count room nights in that status over the period.
  • Rows called "Total" or "Grand Total" are added by the report itself and are highlighted.
  • Good to know:
  • From Date starts on the 1st of the current business month; change it for any other period.
  • Dates are business dates (the PMS working date), not calendar dates. A day closes with the night audit.

Columns explained (the same text shows on the help icon next to a column title):

Column Meaning
Period To Date (PTD) From the start of the chosen period to the chosen date.
Last Year (PTD) The same period last year.
Variance (PTD)(+/-) This period - the same period last year.
Year To Date (YTD) From the start of the year to the chosen date.
Last Year (YTD) The same year-to-date last year.
Variance (YTD)(+/-) This year to date - last year to date.

Before you start

  • You need the privilege Yearly_Report_YearlyMTDYTDComparisonReport. Without it the card is not shown in the report library or on the Report Dashboard, and the address signs you out.
  • Last year columns need data of the year before in the same property. A property that started recently shows 0.00 there, and the variance then equals this year.
  • Run it after night audit; the current day is still moving before.

Step by step

  1. Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at #/reports.
  2. Choose the category Yearly Reports (or type in the search box) and click the card MTD/YTD Comparision ("Month-to-date vs. Year-to-date"). You can also open #/report/yearly-mtd-ytd-comparision directly.
  3. The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date, To Date as you need (in a date calendar, Working Date jumps to the current business date).
  4. Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
  5. Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
  6. Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.

Filters

Filter What it does Default
From Date First day of the period (PTD). First day of the PMS month. The calendar greys out days before the property start date.
To Date Last day of the period and the end of the year-to-date. It cannot be before From Date. The PMS date.

MTD/YTD Comparision: filter panel with the column list

The Columns button in the header opens a panel: untick a column to hide it, drag the grip icon to reorder. Hidden columns are also left out of PDF and Excel. If you hide every column, Export is disabled.

The periods explained

Term Meaning
PTD (Period To Date) The days from From Date to To Date. With the default dates this is the month to date (MTD): the 1st of the PMS month up to the PMS date.
YTD (Year To Date) From 1 January of the To Date year to To Date.
Last Year (PTD) The same days one year earlier: From Date and To Date minus one year.
Last Year (YTD) 1 January of last year up to To Date minus one year.
Variance This year minus last year, line by line (a negative value = behind last year). For percentages it is the difference in percentage points.

Columns

Every line has the same seven columns.

Column Meaning
Title The line (a bold heading row starts each section).
Period To Date (PTD) The figure for From Date to To Date.
Last Year (PTD) The same figure for the same days one year earlier.
Variance (PTD)(+/-) PTD minus Last Year (PTD).
Year To Date (YTD) The figure for 1 January to To Date.
Last Year (YTD) The same figure for last year's 1 January up to the same day.
Variance (YTD)(+/-) YTD minus Last Year (YTD).

Totals and grouping

The lines are grouped in sections. Money sections end with a Total line (shown when the section has any amount). The sections, in order:

Section (bold heading) Lines How it is calculated
Rent Room Taxable, Room (Exempt From Occupancy Tax), Total Room rent of the nights in the period (taxable and tax-exempt nights separately). The taxable line also includes the no-show and cancellation revenue posted in the period.
Occupancy Tax Occupancy Tax, Occupancy Tax Exempted, Total Tax on room rent, and the tax that was exempted. The heading follows your Occupancy Tax title.
Other Charges One line per other charge (for example Laundry per piece, Parking), Other Charges Tax, Total Other charges posted in the period by charge name, and their tax.
Payment One line per payment type of the category Cash, Bank (Check) or Card, Total Payments by payment date.
Deposit The same payment types Deposits received.
Authorized Payment The same payment types Authorized (pre-authorised) amounts.
Miscellaneous Income, Miscellaneous Expense The same payment types, Total Miscellaneous income and expense entries by payment type.
Other Payment types of other categories (for example Complimentary, Travel Agent Voucher, Bad Debts) Payments of those types.
Sales & Channel Payment One line per sales and channel source, Total Amounts charged to a source (direct billing). Shown only when there are such payments.
Room Summary Total Room, V/Maint Room, R/Ready Room, V/Clean Room, V/Ready Room, O/Clean Room, V/Dirty Room, O/Dirty Room, O/Maint Room Room nights (rooms x days) counted in occupancy, in total and by room status. The word Room follows your Room title.
Statistics Room Sold, Occupancy Rate (%), Average Daily Rate (ADR), Revenue Per Available Room (RevPar) See below.

Lines of the same name can repeat in different sections (for example Cash under Payment, Deposit and Miscellaneous Income). Numbers use your number format setting.

The statistics

  • Room Sold = room nights sold in the period.
  • Occupancy Rate (%) = Room Sold / rooms available x 100. Rooms available are the room nights of rooms that are counted in occupancy, active on that day (or deactivated only later) and not in V/Maint status. For last year the available rooms of last year's days are used, not this year's. It can be lower than Total Room in the Room Summary (that line also counts nights of rooms deactivated during the period).
  • Average Daily Rate (ADR) = room revenue / Room Sold.
  • Revenue Per Available Room (RevPar) = room revenue / rooms available (not rooms sold).
  • Last year's YTD ADR uses last year's dates only.

How to read an example

Run on the demo hotel with the defaults (From Date 01-Oct-2026, To Date 17-Oct-2026):

Line PTD Last Year (PTD) Variance (PTD) YTD Last Year (YTD) Variance (YTD)
Rent > Total 205,323.57 0.00 205,323.57 205,323.57 0.00 205,323.57
Occupancy Tax > Total 8,934.00 0.00 8,934.00 8,934.00 0.00 8,934.00
Other Charges > Total 4,072.00 0.00 4,072.00 4,072.00 0.00 4,072.00
Payment > Cash 121,119.60 0.00 121,119.60 121,119.60 0.00 121,119.60
Payment > Total 123,119.60 0.00 123,119.60 123,119.60 0.00 123,119.60
Room Sold 45.00 0.00 45.00 45.00 0.00 45.00
Occupancy Rate (%) 80.36 0.00 80.36 80.36 0.00 80.36
Average Daily Rate (ADR) 3,771.56 0.00 3,771.56 3,771.56 0.00 3,771.56
Revenue Per Available Room (RevPar) 3,030.71 0.00 3,030.71 3,030.71 0.00 3,030.71

Read it as: in the period the hotel booked 205,323.57 of room rent and collected 123,119.60 (121,119.60 in cash and 2,000.00 by UPI). It sold 45 room nights out of 56 available, so occupancy is 45 / 56 = 80.36 %. ADR is the room revenue per room sold (3,771.56) and RevPAR the room revenue per available room (3,030.71). The demo hotel started on 16-Oct-2026, so the period and the year to date are the same and the Last Year columns are 0.00; the variance therefore equals this year. Demo figures change as the demo data changes; your own numbers will differ.

Common questions it answers

  • Is this month ahead of the same days last year, in revenue and in occupancy?
  • How much did we collect this month and this year, by payment type?
  • What are ADR and RevPAR for the month and for the year?
  • How do the figures of a closed month compare with the same month last year?

Troubleshooting

What you see Why and what to do
All Last Year columns are 0.00 The property has no data for the year before (new property, or the PMS was started this year).
The table says Loading... for a long time The report reads a whole year of data. Wait; use a shorter period if it stays slow.
Occupancy differs from Hotel Statistics or the Dashboard The rooms available (denominator) differ: V/Maint nights and rooms deactivated are left out here. Compare the same period. See Hotel Statistics.
RevPAR is lower than ADR That is normal: RevPAR divides by rooms available, ADR by rooms sold; they are equal only at 100 % occupancy.
Rent differs from Yearly or Monthly Sales The no-show and cancellation revenue is included here, and dates follow the stay night. Compare the same dates and see Yearly Report.
A payment line is missing Only payment types of the categories Cash, Bank and Card are listed under Payment; other categories are under Other.
The card is not on the screen You need the privilege Yearly_Report_YearlyMTDYTDComparisonReport.
