Monthly Statistics Report on the demo hotel (SunTatva Demo Hotel)

Purpose

Show the performance indicators of every day and of the period: how full the hotel was, at what average rate, and how much revenue and payment it produced.

Who uses it

Revenue managers, general managers and owners; accountants for the revenue totals.

About this report on screen

Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:

  • Summary: Day-by-day key figures: rooms sold, occupancy, ADR, RevPAR and revenue.
  • What this report shows: For each day: reservations, arrivals, rooms sold with occupancy %, ADR, RevPAR, occupancy charges, other charges, discount, deposits, payments and the total.
  • How to read it:
  • ADR = room revenue / rooms sold. RevPAR = room revenue / rooms available.
  • Total = occupancy charges + occupancy tax + other charges + their tax - discount.
  • Good to know:
  • From Date starts on the 1st of the current business month; change it for any other period.

Columns explained (the same text shows on the help icon next to a column title):

Column Meaning
Room Sold (Occu. %) Rooms sold that day and, in brackets, the occupancy: rooms sold / rooms available x 100.
ADR Average Daily Rate: room revenue divided by the number of room nights sold.
Rev PAR Revenue Per Available Room: room revenue divided by the rooms available to sell.
Occupancy Charges Room rent charged for the day (including no-show / cancellation rent).
Total Other Charges All charges other than room rent.
Discount Discounts given on the bill.
Total Payment All payments received.

Before you start

  • Available rooms (the divisor of occupancy and RevPAR) are the active rooms that count in occupancy and are not in V/Maint status on that date.
  • Run it after night audit; dates after the PMS date show the forecast (reservations).
  • You need the privilege Monthly_Report_MonthlyStatisticsReport (Property Setup > User & Access > Assign Report Privileges). Without it the card is not shown on the Reports screen and a direct address signs you out.

Step by step

  1. Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at #/reports.
  2. Choose the category Monthly Reports (or type in the search box) and click the card Monthly Statistics ("Monthly KPIs and metrics"). You can also open #/report/monthly-statistics directly.
  3. The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date, To Date as you need (in a date calendar, Working Date jumps to the current business date).
  4. Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
  5. Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
  6. Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.

Filters

Filter What it does Default
From Date First day of the period. The calendar greys out days before the property start date (16-Oct-2026 on the demo hotel); the Working Date button sets the PMS date. First day of the PMS month
To Date Last day of the period; it cannot be before From Date. A date after the PMS date is accepted (stays booked for those days then show their rent, nothing is paid yet). PMS date

The Columns button in the header opens a panel: untick a column to hide it, drag the grip icon to reorder. Hidden columns are also left out of PDF and Excel. If you hide every column, Export is disabled.

Columns

All columns of the Monthly Statistics Report (wide screen)

Column Meaning and how it is calculated
Date The day. The last row reads Total.
Arrival Number of folios checked in with that arrival date.
Reservation Number of reservations arriving that day that have not checked in yet.
Room Sold (Occu. %) Rooms sold (checked-in plus reserved rooms of the day) followed by the occupancy percentage in brackets = rooms sold / available rooms x 100.
ADR Average daily rate = room rent (including the rent of reserved rooms) / rooms sold.
Rev PAR Revenue per available room = the same rent / available rooms.
Occupancy Charges Rent posted for the day plus the revenue of no-show / cancelled reservations posted that day.
Occupancy Tax Tax on those charges (title from property settings).
Total Other Charges Other charges posted that day.
Other Charges Tax Tax on the other charges.
Discount Discount from the daily rate of the folios.
Total Occupancy Charges + Occupancy Tax + Total Other Charges + Other Charges Tax - Discount.
Total Payment Cash, bank and card payments received that day.
Total Deposit Deposit payments received that day.

Totals and grouping

The Total row adds Arrival, Reservation, rooms sold, charges, tax, other charges, discount, total, payment and deposit. Occupancy % in the Total row is the average of the daily percentages over all days of the range (also days with 0), not total room nights sold / total room nights available. ADR and Rev PAR in the Total row are total revenue over total rooms sold and over total available rooms.

How to read an example

Run for 16-Oct-2026 to 17-Oct-2026:

  • 16-Oct-2026: Arrival 10, Room Sold (Occu. %) 10 (35.71), ADR 2,692, Rev PAR 961.43.
  • 17-Oct-2026: Reservation 6, Room Sold (Occu. %) 25 (96.15), ADR 3,836, Rev PAR 3,688.46.
  • Total: Occupancy Charges 97,455.71, Total 111,466, Total Payment 60,437.60, Room Sold (Occu. %) 35 (65.93) and ADR 3,509.14.

If the whole month from the 1st is selected, days with no business pull the average occupancy of the Total row down (the 17-day run from 01-Oct-2026 shows about 6.6 %).

Common questions it answers

  • What was our occupancy and ADR on each day?
  • What is the RevPAR of the month?
  • How many guests arrived and how many reservations are still to arrive?
  • What was total revenue (with tax and discount) and payments per day?

Troubleshooting

Problem Cause and what to do
Occupancy of the Total row is very low It is the average of the daily percentages, including days with no business. Select only the days of the business, or compute total rooms sold / total available room nights.
ADR is higher than Occupancy Charges / rooms sold On the PMS date and future dates ADR includes the rent of reserved rooms and counts reserved rooms as sold, while Occupancy Charges only shows posted rent.
Discount differs from the Monthly Report The two reports read the discount from different places (daily rate discount here, discount payments in the Monthly Report).
Total Payment lower than Total Some charges are not yet paid, or paid on later days.

Messages you may see

Message Why it appears What to do
No record found! The service returned no rows for the filters. Change the dates or filters and click Show.
Email sent successfully. You chose Email (PDF). Check the property mailbox. The message appears even if the mail server refuses the mail.

Export, print and e-mail

  • PDF is built in the browser and opens in a new tab (allow pop-ups). If the property has no uploaded logo the PDF is simply drawn without it.
  • Excel downloads Monthly Statistics Report.xlsx: property name, print date, report name and date range, then the visible columns and the same rows.
  • Email (PDF) has the server mail the PDF to the property e-mail address and shows "Email sent successfully." at once, even if delivery fails.
  • The Export button is always in the report header; it is disabled (grey) until the result has at least one row.
