Guest Classification Report
On this page
The Guest Classification Report groups stays by where the guest came from: the sales and channel category (for example Walk-In, Travel Agent, OTA, Corporate) and the sales and channel (the agent or company). For each stay it shows the room, guest, dates, rent, tax, other charges and payment, and it adds counts and totals for every source and category.

Purpose
- See which sources bring guests and how much money each source brings.
- Compare walk-in business with agent, company and online business.
- Prepare commission or contract reviews with agents and companies.
Who uses it
Sales and marketing managers, revenue managers and owners.
About this report on screen
Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:
- Summary: Guests by sales & channel, with their stays and spend.
- What this report shows: Stays between From Date and To Date grouped by sales & channel category, with guest, company, address, room type, rate plan, nights, rent, other charges and payments.
- How to read it:
- Pick a Sales & Channel Category first; the Sales & Channels list then shows only the channels of that category.
- Rows called "Total" or "Grand Total" are added by the report itself and are highlighted.
- Good to know:
- Include Reservation also counts reservations that have not checked in yet.
Columns explained (the same text shows on the help icon next to a column title):
| Column | Meaning |
|---|---|
| Rent | Room rent (without other charges). |
| Other Charges | Charges other than room rent (food, laundry, extra bed...). |
Before you start
- You need the privilege Guest_Report_GuestClassificationReport.
- Stays only have a source when a Sales & Channel Category and Sales & Channel were chosen on the reservation or folio. Stays without a source are grouped as Walk-In and N/A. On the demo hotel no stay has a source yet, so every line is Walk-In / N/A.
- The report lists stays by their arrival date (Date In).
Step by step
- Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at
#/reports. - Choose the category Guest Reports (or type in the search box) and click the card Guest Classification ("Guest segmentation report"). You can also open
#/report/guest-classificationdirectly. - The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date, To Date, Sales & Channel Category, Sales & Channels, Include Reservation as you need (in a date calendar, Working Date jumps to the current business date).
- Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
- Optional: choose a Sales & Channel Category and then a Sales & Channels entry (default N/A, which means no filter). Tick Include Reservation to add reservations that have not arrived yet.
- Read the blocks. Hide columns under Columns.
- Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
- Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.
Filters
| Filter | Meaning | Rules and default |
|---|---|---|
| From Date | First arrival date to include. | Default PMS date. |
| To Date | Last arrival date to include. | Default PMS date; not before From Date. |
| Sales & Channel Category | One category (Travel Agent, OTA, Corporate...). | Default N/A = all categories. |
| Sales & Channels | One agent or company. The list follows the category. | Default N/A = all. |
| Include Reservation | Also list reservations (not yet checked in). | Off by default: only checked-in stays. |
Columns
| Column | Meaning and calculation |
|---|---|
| (first column, no heading) | The source name on its first line (for example N/A), and the text |
| Room | Room number (the room type name when no room is assigned yet). On total lines it shows Count: n (stays of the source) or Total Count: n (stays of the category). |
| Guest | Guest name (blank for unnamed group members). |
| Date In | Arrival date and time. |
| Date Out | Departure date and time. |
| Rent | Total room rent of the whole stay, before tax. |
| Occupancy Tax | Tax on the rent (heading follows OCCUPANCY_TAX_TITLE). |
| Other Charges | The total other charges plus their tax of the stay (minibar, laundry, POS...). For Hana Kobayashi it shows 5,150.00. Fixed 19-Oct-2026: the heading used to read Other Charges Tax (taken from OTHER_CHARGES_TAX_TITLE) although the column is not a tax. |
| Payment | Total payments received on the folio. |
Totals and grouping
Level 1 is the category (a grey heading, Walk-In when there is no category). Level 2 is the source within the category, closed by
How to read an example
From Date 16-Oct-2026 to To Date 19-Oct-2026, Include Reservation off, on the demo hotel:
| Room | Guest | Date In | Date Out | Rent | Occupancy Tax | Other Charges | Payment |
|---|---|---|---|---|---|---|---|
| 101 | Kiran Bhatt | 17-Oct-2026 12:38 | 18-Oct-2026 15:40 | 2,750.00 | 330.00 | 0.00 | 3,080.00 |
| 204 | Hana Kobayashi | 16-Oct-2026 21:10 | 20-Oct-2026 16:00 | 16,000.00 | 0.00 | 5,150.00 | 5,000.00 |
| N/A Total: | Count: 22 | 130,470.00 | 9,402.00 | 8,360.00 | 38,437.60 | ||
| Grand Total | Total Count: 22 | 130,470.00 | 9,402.00 | 8,360.00 | 38,437.60 |
Read it as: 22 stays arrived in these four days, all without a source (Walk-In, N/A). They carry 130,470.00 of rent and 38,437.60 of payments. The grand total equals the N/A total because there is only one source. Once agents and companies are used, each one has its own block.
Common questions it answers
- How many guests came through each agent or company in the period?
- How much rent and how much payment does each source have?
- How much walk-in business do we have compared with agents?
Export, print and e-mail
- Excel downloads Guest Classification Report.xlsx. The date line in the file header shows the From Date and the To Date you chose.
- Email (PDF) shows Email sent successfully.
- PDF: Since 19-Oct-2026 the PDF also opens on a property without an uploaded logo. Use Excel or Email (PDF).
Troubleshooting
- Everything is under Walk-In / N/A. The stays have no sales and channel entered. Choose the source on the reservation or folio (Sales & Channels on the folio payment screen).
- A reservation is missing. Tick Include Reservation; without it only checked-in stays are listed.
- A guest is listed twice. The query joins every guest of the stay; a stay with several named guests can appear once per guest and its rent is counted again. Check the folio for shared guests.
- The date range does not match the stay dates. The filter is the arrival date only; a stay that arrived before the range is not listed even if it is in house.
- The column is called Other Charges but I expected a tax. The column holds the other charges including their tax; there is no separate tax column in this report (the heading was corrected on 19-Oct-2026).
