The Monthly Collection Report lists, for every day of the period, how much money was collected in each payment type (Cash, Check, UPI, Visa Card, Master Card, American Express, Bank Transfer, Credit Card, Debit Card, Travel Agent Voucher, Bad Debts...). The last column is the day total and the last row the period total.

Monthly Collection Report on the demo hotel (SunTatva Demo Hotel)

Purpose

Show collections per payment type per day so that the cash drawer, the bank deposits and the card settlements can be matched with the hotel figures.

Who uses it

Cashiers and the accounts team (reconciliation), night auditors, and managers who want the payment mix.

About this report on screen

Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:

  • Summary: Money collected each day of a period.
  • What this report shows: One line per day with the payments collected, split by payment type, and a total.
  • How to read it:
  • Compare days to see when most money comes in.
  • Good to know:
  • From Date starts on the 1st of the current business month; change it for any other period.

Before you start

  • The columns are the payment types of your property (Property Setup > Payment Type). A new payment type appears as a new column; its name is shown as configured.
  • Run it after night audit. Payments are listed on their payment date.
  • You need the privilege Monthly_Report_MonthlyCollectionReport (Property Setup > User & Access > Assign Report Privileges). Without it the card is not shown on the Reports screen and a direct address signs you out.

Step by step

  1. Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at #/reports.
  2. Choose the category Monthly Reports (or type in the search box) and click the card Monthly Collection ("Monthly revenue report"). You can also open #/report/monthly-collection directly.
  3. The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date, To Date as you need (in a date calendar, Working Date jumps to the current business date).
  4. Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
  5. Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
  6. Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.

Filters

Filter What it does Default
From Date First day of the period. The calendar greys out days before the property start date (16-Oct-2026 on the demo hotel); the Working Date button sets the PMS date. First day of the PMS month
To Date Last day of the period; it cannot be before From Date. A date after the PMS date is accepted (stays booked for those days then show their rent, nothing is paid yet). PMS date

The Columns button in the header opens a panel: untick a column to hide it, drag the grip icon to reorder. Hidden columns are also left out of PDF and Excel. If you hide every column, Export is disabled.

Columns

All columns of the Monthly Collection Report (wide screen)

Column Meaning and how it is calculated
Day The date (one row per day of the range, also days with no payment).
one column per payment type Sum of the payments of that type received on the day, for folios, deposits, group, Sales & Channel and miscellaneous payments. On the demo hotel: Cheque, Travel Agent Voucher, Visa Card, Master Card, American Express, UPI, Bank Transfer, Credit Card, Cash, Check, Bad Debts, Debit Card. Payment types of category Complimentary and Discount are not shown.
Total Sum of the payment type columns of the row.

Totals and grouping

No grouping. One row per day and a final Total row that adds every column. The Total column of the Total row is the grand total of collections.

How to read an example

Run for 16-Oct-2026 to 17-Oct-2026:

  • 16-Oct-2026: Cash 43,230, UPI 1,000, row Total 44,230.
  • 17-Oct-2026: Cash 19,207.60, row Total 19,207.60.
  • Total row: Cash 62,437.60, UPI 1,000, grand Total 63,437.60.

The Cash column also includes miscellaneous income received in cash, and miscellaneous expense paid in cash is deducted from it (since 19-Oct-2026,; earlier the expense was ignored). The Total equals the Total Payment of the Monthly Report for the same dates.

Common questions it answers

  • How much cash should be in the drawer / bank for a day?
  • How much was collected by UPI, card or bank transfer?
  • What was the total collection of the month?

Troubleshooting

Problem Cause and what to do
A day shows less than the Monthly report This report counts payments of the listed payment types only; complimentary and discount types are excluded and deposits are counted on the payment date.
A payment type column is missing Only payment types that exist in Property Setup > Payment Type are shown. A type renamed or deleted since the payment keeps showing in older reports under its configured name.
Total differs from Monthly Credit Card Credit Card shows only the Card category, split by card brand and by Authorized or Sale status. Collection adds all payment types.

Messages you may see

Message Why it appears What to do
No record found! The service returned no rows for the filters. Change the dates or filters and click Show.
Email sent successfully. You chose Email (PDF). Check the property mailbox. The message appears even if the mail server refuses the mail.

Export, print and e-mail

  • PDF is built in the browser and opens in a new tab (allow pop-ups). If the property has no uploaded logo the PDF is simply drawn without it.
  • Excel downloads Monthly Collection Report.xlsx: property name, print date, report name and date range, then the visible columns and the same rows.
  • Email (PDF) has the server mail the PDF to the property e-mail address and shows "Email sent successfully." at once, even if delivery fails.
  • The Export button is always in the report header; it is disabled (grey) until the result has at least one row.
