Monthly Sales & Channel Summary Report on the demo hotel (SunTatva Demo Hotel)

Purpose

Give the status of every direct-bill account at a glance: what it owed at the start, what was billed, what was paid, the commission and what is due now.

Who uses it

Accountants and the credit controller; sales managers negotiating with agents and companies.

About this report on screen

Every report page has an About this report bar under its header (button Explain / Hide). It explains the report in plain words:

  • Summary: One line per sales & channel: balance brought forward, charges, commission and balance due.
  • What this report shows: Per sales & channel for the period: balance and commission brought forward, room charges, payments, commission, commission paid and the balance due.
  • How to read it:
  • Balance B/F is what the channel owed before the period started.
  • Balance Due is what it owes at the end of the period.
  • Good to know:
  • From Date starts on the 1st of the current business month; change it for any other period.

Columns explained (the same text shows on the help icon next to a column title):

Column Meaning
Sales & Channel Where the booking came from: direct, a booking site, a travel agent, a company...
Balance B/F Balance brought forward: what was owed before the period started.
Payments Payments received.
Commission B/F Commission brought forward from before the period.
Commission What the hotel owes the channel or agent for its bookings.
Commission Payment Commission already paid in the period.
Balance Due What is still owed at the end of the period.

Before you start

  • Sales & Channels with direct billing or commission must be set up (Property Setup > Sales & Channels) and payments by account must be posted.
  • Opening balances of the accounts are part of the Balance B/F.
  • You need the privilege Monthly_Report_MonthlyBusinessSourceSummary (Property Setup > User & Access > Assign Report Privileges). Without it the card is not shown on the Reports screen and a direct address signs you out.

Step by step

  1. Click Reports in the left menu (or press Ctrl+K and type the report name). The report library opens at #/reports.
  2. Choose the category Monthly Reports (or type in the search box) and click the card Sales & Channel Summary ("Monthly summary by Sales & Channel"). You can also open #/report/monthly-sales-channels-summary directly.
  3. The report opens and runs once with its default criteria, so you already see data. Under Report criteria set From Date, To Date as you need (in a date calendar, Working Date jumps to the current business date).
  4. Click Show to run it again with the new criteria. The line under Results tells how many rows are shown.
  5. Read the result as a Table or as Cards (switch at the top right). Columns shows or hides columns and lets you drag them into another order; click a column title to sort. Hide criteria / Show criteria folds the criteria away; on a tablet or phone it folds by itself after Show and leaves a one-line summary.
  6. Click Export and choose PDF, Excel or Email (PDF). The button is always in the header but stays disabled until the report has rows.

Filters

Filter What it does Default
From Date First day of the period. The calendar greys out days before the property start date (16-Oct-2026 on the demo hotel); the Working Date button sets the PMS date. First day of the PMS month
To Date Last day of the period; it cannot be before From Date. A date after the PMS date is accepted (stays booked for those days then show their rent, nothing is paid yet). PMS date

The Columns button in the header opens a panel: untick a column to hide it, drag the grip icon to reorder. Hidden columns are also left out of PDF and Excel. If you hide every column, Export is disabled.

Columns

Column Meaning and how it is calculated
Sales & Channel Name of the Sales & Channel.
Balance B/F Balance brought forward from before From Date, as the service computes it: payments received from the source before From Date + the opening credit balance of the source - amounts billed to the source before From Date.
Room Charges Charges billed to the account in the range.
Payments Payments received from the account in the range.
Commission B/F Commission posted before From Date minus the opening commission balance of the source (as the service computes it).
Commission Commission posted in the range.
Commission Payment Commission paid to the source in the range.
Balance Due Balance B/F + Room Charges - Payments + Commission B/F + Commission - Commission Payment.

Totals and grouping

A source is listed only if one of its figures is not zero. The last line Total adds each column. If no source has any figure the screen shows No record found!.

How to read an example

On the demo hotel, run for 16-Oct-2026 to 17-Oct-2026 (checked in the browser on 19-Oct-2026 after test stays were checked out): Sun Travels Commission 440.00, Acme Corporation Room Charges 8,000.00, MakeMyTrip Commission 660.00, Royal Weddings Commission 220.00; Total Commission 1,320.00, Balance Due 9,320.00. The columns that appear are: Sales & Channel, Balance B/F, Room Charges, Payments, Commission B/F, Commission, Commission Payment, Balance Due.

Illustration with made-up numbers: Sample Travel Agent | Balance B/F 5,000.00 | Room Charges 13,440.00 | Payments 10,000.00 | Commission B/F 0.00 | Commission 1,344.00 | Commission Payment 0.00 | Balance Due 9,784.00.

Common questions it answers

  • How much does each agent or company owe us?
  • What commission have we accrued and paid per source?
  • What was the balance at the start of the month?

Troubleshooting

Problem Cause and what to do
No record found! No Sales & Channel has movement or balance in the period. Check the dates.
A source is missing Sources with all figures zero are hidden. Also see the known code observation below.
Balance Due does not equal charges minus payments Balance Due also includes the commission figures and the balance brought forward.

Messages you may see

Message Why it appears What to do
No record found! The service returned no rows for the filters. Change the dates or filters and click Show.
Email sent successfully. You chose Email (PDF). Check the property mailbox. The message appears even if the mail server refuses the mail.

Export, print and e-mail

  • PDF is built in the browser and opens in a new tab (allow pop-ups). If the property has no uploaded logo the PDF is simply drawn without it.
  • Excel downloads Monthly Sales & Channel Summary Report.xlsx: property name, print date, report name and date range, then the visible columns and the same rows.
  • Email (PDF) has the server mail the PDF to the property e-mail address and shows "Email sent successfully." at once, even if delivery fails.
  • The Export button is always in the report header; it is disabled (grey) until the result has at least one row.
